American Fuel & Petrochemical Manufacturers (AFPM) is a dynamic trade association representing high-tech American manufacturers of virtually the entire U.S. supply of gasoline, diesel, jet fuel, other fuels, and home heating oil, as well as the petrochemicals used as building blocks for thousands of vital products in daily life, from paints to plastics, space suits to solar panels, and medicines to mobile phones.
AFPM is looking for an entry level Senior Associate to assist with a range of administrative duties and special assignments in support of the General Counsel (GC) and Counsel. will evolve over time to become more writing and research-intensive.
Responsibilities
- Perform a wide range of administrative duties and special assignments in support of the General Counsel (GC) and Counsel
- Proofread department work products
- Manage the schedule and calendar of the GC with attention to accuracy and detail, keeping the GC informed of calendar changes and calendar requests.
- Manage the administrative duties of AFPM’s Legal Committee, including sending meeting materials, drafting agendas and taking meeting minutes.
- Perform administrative duties for AFPM’s Issues Committee as needed, including taking meeting minutes, maintaining calendar invitations, and updating Committee listservs.
- Work closely with the GC and Counsel in the legal department to keep all informed of upcoming commitments and responsibilities and follow up on internal and external department requests and deadlines.
- Coordinate speakers, presentations, hotel/meeting rooms/restaurants for the annual General Counsel’s Forum and other in-person Legal Committee meetings
- Schedule and coordinate internal and external meetings including in-person and video conferencing, conference calls, and associated travel.
- Manage and monitor incoming contracts through AFPM’s Contract Management System (CMS) and train new employees on the use of the CMS.
- Maintain Legal Department folders and file organization.
- Manage meeting resources such as reserving meeting rooms, coordinating catering, meeting communications and correspondence, and developing and/or distributing materials.
- Maintain confidentiality of materials, conversations and documents.
- Prepare accurate and timely expense reports and handle other accounting reporting as needed.
Qualifications
- 1 – 3 years of administrative support experience; executive support experience preferred.
- Strong proofreading and editing skills required.
- Writing skill required including command of English language, grammar, syntax, vocabulary, spelling, sentence structure and clarity.
- Experience conducting research and data collection preferred.
- Detail oriented with strong organizational skills required.
- Strong day-to-day verbal and email communication required.
- Ability to manage multiple priorities and strong time management skills required.
- Scheduling experience supporting conferences and meetings preferred.
- College degree in English or History preferred or the equivalent in experience and training.
